Adding your work email to your iPhone or iPad lets you check and respond to messages without being at your desk. This guide covers the three most common setups. ## Microsoft 365 / Outlook Email 1. Open **Settings** on your iPhone or iPad. 2. Scroll down and tap **Mail**. 3. Tap **Accounts > Add Account**. 4. Tap **Microsoft Exchange**. 5. Enter your email address and tap **Next**. 6. Tap **Sign In** when prompted. 7. You will be redirected to your organization's Microsoft login page. Enter your password. 8. If your organization uses multi-factor authentication (MFA), complete the verification step. 9. Choose what to sync: **Mail, Contacts, Calendars, Reminders**. Toggle on the ones you need. 10. Tap **Save**. Your email, calendar, and contacts will begin syncing. This may take a few minutes depending on mailbox size. ## Google Workspace / Gmail 1. Open **Settings > Mail > Accounts > Add Account**. 2. Tap **Google**. 3. Enter your Google email address and tap **Next**. 4. Enter your password and tap **Next**. 5. Complete MFA if prompted. 6. Choose what to sync: **Mail, Contacts, Calendars, Notes**. 7. Tap **Save**. ## Other Email (IMAP/POP) For email providers that are not Microsoft or Google: 1. Open **Settings > Mail > Accounts > Add Account**. 2. Tap **Other**. 3. Tap **Add Mail Account**. 4. Enter your **Name, Email, Password**, and a **Description** (like "Work Email"). 5. Tap **Next**. 6. iOS will try to find the settings automatically. If it succeeds, tap **Save**. 7. If it does not find settings automatically, you will need to enter the incoming and outgoing server details manually. Get these from your IT provider or email hosting company. Common IMAP settings: **Incoming server**: imap.yourdomain.com, Port 993, SSL on **Outgoing server**: smtp.yourdomain.com, Port 587, TLS on ## Troubleshooting **"Cannot Verify Server Identity" warning**: This usually means the email server's SSL certificate does not match the server name. Tap **Continue** if you trust the server, or contact IT to verify the correct server address. **Email not syncing**: Go to Settings > Mail > Accounts > Fetch New Data. Make sure **Push** is enabled for your account (if supported) or set **Fetch** to every 15 minutes. **MFA keeps prompting**: If you are constantly asked to re-authenticate, your organization may require a specific email app (like Outlook or Gmail app) instead of the built-in Mail app. Check with IT. **"Account Error" after password change**: If you recently changed your email password, you need to update it on the phone. Go to Settings > Mail > Accounts > select the account > re-enter the new password.
